How to Apply

Now that you know the grade that your child is elligible for, click one of the links below that would take you directly to the online form you need, and provide all necessary information. We only accept online applications.

We will ask you to upload scans of both parents' passports as well as your child's passport and/or birth certificate, so keep those documents handy during the process of application.

As soon as you have submitted the online application form, you will be able to upload required supporting documents. We will ask you to provide the following:

The last part of the process is to submit the non-refundable USD 150 or PLN 600 application fee, which covers the costs of processing the application. Payment can be made by bank transfer or check. After you have submitted the Application Form, you will be able to view ASW’s bank details in the online portal.

On the transfer, please mention the student's name + "application fee".

You should expect to receive a response from ASW within two to three weeks. In the meantime, we acourage you to take a look at ASW social media and browse through our website. You will find a link to our Facebook page below.

Annual application process: Applications for the 2025-2026 academic year can be submitted starting September 2024. Families applying for mid-year enrolment can also apply one year ahead.

If you are interested in enrolling your child in more than 12 months from now, please complete our online inquiry form and we will contact you when applications open.

Most of the spaces are allocated by April but openings may become available in the months after that.

Second Semester Admission: Applicants for entry for the 2nd semester (January entry) must be submitted by the end of October and an admissions decision will be made before mid December.

Mid-Year Admissions: Applicants for entry during the current school year may be admitted if space permits. Upon confirmation of admission, the Admissions office will agree with the family on the first day of school.

August Admission: Our current ASW families have until the mid of March to confirm to the ASW Admissions Office if they will be returning to ASW for the next academic year. The number of spots available for the 2025-2026 school year will depend on the number of withdrawals by the end of the current academic year. Prospective families are encouraged to complete applications by January 15, 2025. Spaces are allocated in order of priority as outlined in the admissions policy. Candidates that cannot be admitted, will be placed on the waiting list.

Timeline for class placement for August 2025:

As you are aware students enrolled at ASW come from many different countries and school systems, and families often ask what grade their child will be eligible for at ASW.

Candidates for Pre-Kindergarten – Grade 1 will be placed strictly by age. Placement in Grades 2-12 is determined by evaluating the student’s age, development, and previous school experience. The final decision will be made by the School Principal after review and evaluation of the child’s application. Please consult the 2023-2024 academic year age/grade placement chart below for guidance.

It is important that students have completed a full grade level (American system equivalent) before advancing to the next grade level. If a student has not completed a grade level when enrolling at ASW, he/she will be placed in the same grade level to ensure completion of that grade level.

Any student’s course of study must be completed before he/she reaches his/her 21st birthday.

Each student’s record is considered carefully. Normally, students who have just completed a grade level (American system equivalent) in their home country will not be promoted to the next grade level mid-year at ASW as this would mean skipping months or even a full semester of that year’s work and leading to gaps in learning. Additionally, students who in future years return to an alternative calendar are often significantly impacted even more. Review of a student’s full record, relevant assessments, and other pertinent information may be used in making an alternative placement, if the body of evidence supports that decision after being reviewed by school administration.

Students applying for the second semester of Grade 9 and above, whose mother tongue is not English or who have not been using English as their primary academic language, will be asked to complete an English language test. They will be required to take the WIDA English language proficiency test to determine if they are able to access the ASW curriculum.

The ASW academic year runs from August until June. We typically start school in the second half of August and end the year mid June. You can see the newest school calendar here.

Students applying for admission to Pre-Kindergarten must be fully toilet-trained before the first day of school (no diapers/nappies). They also must be able to feed and dress themselves reasonably independently.

Only complete applications can be evaluated for admission. A complete application consists of application forms, supporting documentation and payment of the USD$ 150 application fee. Please download and follow the User Guide to online application and admissions process for detailed instructions.

ASW has maximum class sizes per grade level, as well as nationality capacity guidelines, and a limited number of spaces in selected programmes such as EAL (English as an Additional Language) and Learning Support. Waiting lists may be opened if capacity is reached for any of the above reasons. As enrollment is dynamic, spaces may open at any time during the school year. Please contact the Admissions Office if you would like to know more about the current situation.

Students are placed on the waiting list by priority group, as defined in the admissions policy. Within each group, students are placed by order of the date of their application (completed application form and payment of the application fee). Admission decisions for August enrolment are taken at set dates, starting from April each year.

The date of the application is the date when the application form has been submitted and the application fee paid. The application cannot be reviewed, however, until the supporting documentation has been submitted as well.

Once an application has been submitted, you do not need to re-apply nor pay the application fee again. We may ask you for updated information on your child’s academic progress. Your child will remain on the waiting list and we will periodically provide you with an update on his or her admissions status. Should you decide to withdraw your child from the waiting list, please let us know in writing.

The following documents need to be uploaded when filling out the form so please have these ready before you get started:

• Student’s Passport* - a scan of the passport page showing birth and expiration date. Alternatively, a scan of the student’s Birth Certificate can be submitted.
• Parents’ passports - a scan of each parent’s passport information page
• Student’s Birth Certificate

• For Elementary School: copies of the school records from the last academic year, and the first-semester report of 2023-2024

• For Middle and High School: copies of the school records from the last two academic years (2021-2022 and 2022-2023) and the first-semester report of 2023-2024

• In case of special learning needs, full information and copies of relevant reports must be submitted.

Important note: All reports and assessment evaluations must either be written in English originally, or be translated into English by a certified translator and both versions of the reports must be submitted into the online application (ie. the report in the original language and the translated version). They also should be officially issued by the institution or school with official signature and stamp.
